Problem

Oxbow relied on manual calls and scheduling, creating delays and making growth impossible.

Manual intake created a heavy bottleneck

Caregivers felt overwhelmed and stressed

Families relied on Oxbow for help with everyday caregiving, but everything ran through manual phone calls. Staff took requests by hand, priced each task manually, and contacted assistants one by one. It worked with a few customers but broke as demand grew. Families waited. Staff was overloaded. Scaling was impossible.

Solution

We created a simple PWA that lets families schedule care, explore tasks, and manage details easily.

Overview of the core experience

We designed a lightweight PWA that lets families schedule care in minutes. They can browse tasks, see pricing upfront, and view upcoming visits in a clear calendar view. Every task has the details assistants need so Oxbow no longer has to manage everything manually.

Clean task cards built for quick scanning

Using sheets to provide contextual information

One crucial element was the task card. Through several rounds of iterations, we landed on a design that is both super clear and informative.

Popular tasks are one tap away. Selecting one opens a clean task sheet with pricing, a short description, and actions to add it to the schedule or chat with a wellness assistant.

Guided three step task creation flow

The task flow is simple. Pick a task, add optional details, and confirm. Everything is guided, clear, and built for older audiences.

Family members can message with the Wellness Assistant easily

Payment & billing is integrated into the PWA

Families can message Oxbow directly and manage payments in one place. No more juggling calls, texts, and scattered details.

We researched, tested, and redesigned Oxbow’s flow into a clearer, scalable caregiving system.

Using the brand to inform the PWA design and architecture

We translated Oxbow’s brand into a flexible UI system. Soft colors, warm illustrations, and simple layouts helped build trust and reduce cognitive load.

Early wireframes to define layout

Testing flows with older audiences

We created low-fidelity wireframes to validate navigation and clarity with older adults. Testing helped shape copy, spacing, and icon choices.

This project moved fast so cross-functional collaboration was critical. Each partner guided decisions that balanced brand, feasibility, and the needs of real caregivers.

Improving the flow with XFN comments

We rebuilt the Tasks screen to highlight discovery and improve readability. The new layout helped families quickly scan what tasks they've scheduled, what tasks are upcoming and how to discover more tasks.

Simplifying the crucial "Add Task" flow

The Add Task flow went through many iterations. Feedback from Product, Growth, and Research helped simplify steps and reduce friction.

Results

The new PWA increased task completion 4x and gave families real relief while reducing workload.

Roadmap

Next, we're adding smarter task suggestions and voice notes to make scheduling even easier.

Combining task discovery into the "Add Task" flow

Adding voice notes support for easier communication

We plan to surface suggested tasks directly inside the Add Task flow so families discover support while scheduling. We are also exploring voice notes for task creation since many older adults prefer speaking rather than typing.
